Easy Keep Pro is a purpose-specific personal financial recordkeeping service. It allows users to submit their own financial events through supported messaging channels so that the service can record, organise, calculate, retrieve and remind them about those records. Easy Keep Pro is not a general-purpose chatbot or general-purpose artificial intelligence assistant.
This Privacy Policy explains what information we process, why we process it and the choices available to users.
1. Information We Process
Depending on how you use the service, we may process:
- account and messaging identifiers needed to recognise and isolate your records, such as a WhatsApp phone-number identifier and Easy Keep Pro user identifier;
- messages and commands that you intentionally send to Easy Keep Pro;
- financial records that you ask the service to organise, including income, expenses, loans, repayments, counterparties, amounts, currencies, dates, categories, notes and reminders;
- voice messages, images or receipts that you intentionally submit for transcription, extraction or record creation;
- service-generated records needed for reliable operation, such as message identifiers, processing status, delivery status, timestamps, duplicate-detection references and audit information; and
- technical and security information reasonably necessary to operate, troubleshoot and protect the service.
Please do not submit information that is unnecessary for your personal recordkeeping request.
2. How We Use Information
We use information only as reasonably necessary to:
- identify the correct user before reading or writing business data;
- record and organise user-submitted financial events;
- calculate balances and maintain the integrity of related records;
- retrieve a user's own saved information;
- provide requested reminders and reports;
- interpret supported text, voice and image inputs for these specific functions;
- send confirmations, clarification requests and delivery updates;
- prevent duplicate processing, investigate errors and maintain an auditable history; and
- protect the service, comply with law and enforce applicable terms.
Artificial intelligence may assist with limited tasks such as understanding a user-submitted instruction, transcription or structured extraction. It is incidental to the financial recordkeeping service and is not offered as a general-purpose conversational assistant. Materially ambiguous or inconsistent instructions may require confirmation before a business record is written.
3. WhatsApp and Other Service Providers
When you communicate with Easy Keep Pro through WhatsApp, Meta and WhatsApp process information under their own terms and privacy policies. We may also use service providers for cloud hosting, workflow automation, data storage, message delivery, transcription and limited language or document processing.
These providers receive only the information reasonably required to perform their services for Easy Keep Pro. We do not sell personal information or financial records. We do not permit service providers to use Easy Keep Pro data for their own unrelated marketing.
4. Data Isolation, Security and Accuracy
Easy Keep Pro is designed to resolve a canonical user identity before accessing business records and to keep each user's records isolated. We use reasonable administrative and technical safeguards, access controls and audit records to protect information.
No online service can guarantee absolute security. Users remain responsible for protecting access to their WhatsApp account and for checking confirmations and records for accuracy.
5. Data Retention
We retain information for as long as reasonably necessary to provide the service, maintain accurate and auditable records, resolve disputes, protect against abuse and meet legal obligations. The retention period may vary according to the type of record and the reason it is held.
When information is no longer reasonably required, we will delete or de-identify it, subject to legitimate backup, security, audit and legal requirements.
6. User Choices and Data Requests
You may stop sending information to Easy Keep Pro at any time. You may also request access, correction or deletion of your information by contacting us at support@easykeepro.com. We may need to verify your identity before acting on a request.
Deletion requests may be limited where retention is reasonably necessary for security, audit, dispute resolution or legal compliance. We will explain any applicable limitation when responding to a verified request.
7. Children's Privacy
Easy Keep Pro is not directed to children. Users must have the legal capacity required to use the service in their location.
8. Changes to This Policy
We may update this Privacy Policy when the service, legal requirements or our data practices change. The updated policy will be published at this URL with a revised effective date.
